Bid Associate
The Role
The Bid Associate works independently in the business development team with key responsibility for registrations and pre bidding activities for the practice as well as coordination of bid submissions, tracking and reporting in CRM. The Bid Associate will support the business development by leading in pre-bidding activities and coordinating tracking, registration and reporting of bids. In addition to these primary activities the Bid Associate will support the Bid Director on major bids as required with the majority of focus being on KSA-based bids.
Key Responsibilities
1. PRE-BID MANAGEMENT
- Registration of all incoming opportunities,
- Summarization of incoming opportunities,
- Notification to Senior Management of all incoming opportunities,
- Tracking of all opportunities’ status on CRM.
2. REGISTRATION MANAGEMENT
- Registration of Savills as a supplier with clients.
- Management of existing client registrations.
- Tracking opportunities in CRM and liaising with service lines on opportunity status updates
- Supporting service lines in KSA on their Prequalification questionnaires, registrations, and framework agreement preparations
3. PRE-BID PREPARATION
- Preparation of detailed bid plan for all pre-bid requests including,
- Pre-Qualification Questionnaire (PQQ),
- Expression of Interest (EOI),
- Requestion of Information (RFI),
- Non-Disclosure Agreements (NDA).
- Initial development of all pre-bid requests submissions,
- Management of collateral.
4. PROPOSAL SUPPORT
- Coordinate bronze bid Submissions using PPT templates
- Supporting Bid Director and service line heads on CRM tracking and Reporting Tasks
- Supporting Bid Director on coordinating input for major bids
- liaising with designers for Bid inputs from service lines
- Supporting designers on final amendments of text before document finalization
5. REPORTING
- Ensuring all incoming opportunities are tracked on CRM
- Ensuring Bid outcomes are updated on CRM
- Supporting bid director on CRM coordination
- Ensuring instructions are tracked and updated on CRM

- Champions the maintenance and consistency of submissions based on branding guidelines,
- Updates HR with documents as requested and in a timely manner. Takes responsibility for the validity of own documents including visa. Ensures all resource arrangements are informed and agreed with HR before proceeding. Has an awareness of UAE/KSA work regulations,
- Respects office and team timing.
Skills, Knowledge and Experience
- Degree educated – Bachelor’s degree Business Administration/ Marketing
- Excellent communications skills,
- Excellent skills –Microsoft Office,
- Reasonable Skills – Adobe InDesign
- Excellent command of written and spoken English,
- Understand and resolve complex technical, strategic, and business issues.
- Passion for marketing and staying current with industry trends and developments.
- Previous experience in business development/bidding, Marketing & Communication
- Bid management experience,
- Industry Experience – in innovative practices locally or internationally or reputable local practices,
- Years worked following graduation – minimum 5 years.
