Tenant Fit-out Coordinator

We are seeking an organised and technically competent Tenant Fit-Out Coordinator to support the delivery of tenant fit-out projects across Expo City. The successful candidate will coordinate the day-to-day management of multiple tenant fit-out projects from design submission through to handover, acting as the primary liaison between tenants, consultants, contractors and internal technical teams.
The role combines project coordination with first-level architectural and design review responsibilities, ensuring submissions comply with Expo City's Tenant Fit-Out Manual, lease requirements and statutory regulations before progressing to the specialist reviewers.
Working closely with the Fit-Out Managers, Architectural Design Reviewer, MEP Engineer, FLS Engineer, HSE Engineer and Document Controller, the coordinator will help maintain programme milestones, expedite approvals, resolve coordination issues and provide excellent customer service throughout the tenant fit-out process.
Key Responsibilities:
Tenant Coordination
Act as the day-to-day point of contact for assigned tenants throughout the fit-out process.
Conduct tenant onboarding meetings and explain the fit-out process, submission requirements and approval procedures.
Guide tenants, consultants and contractors through Expo City's fit-out requirements and approval workflow.
Coordinate communications between tenants and internal stakeholders.
Monitor tenant compliance with agreed programmes and contractual milestones.
Escalate programme delays and technical issues to the Fit-Out Manager.
Design Coordination
Carry out first-stage reviews of architectural submissions for completeness and general compliance.
Review drawings against the Tenant Fit-Out Manual, lease plans and approved design criteria.
Identify missing information, drawing inconsistencies and obvious design conflicts prior to formal review.
Coordinate multidisciplinary reviews involving Architecture, MEP, FLS, HSE and Operations.
Consolidate review comments into coordinated responses for issue to tenants.
Monitor design revisions and ensure comments have been satisfactorily addressed.
Project Coordination
Track design submissions, approvals, RFIs, NCRs, inspections and authority approvals.
Monitor project programmes and highlight risks affecting delivery.
Coordinate site access, permits and inspection requests.
Attend coordination meetings with tenants, consultants and contractors.
Assist with tenant handover inspections and close-out documentation.
Support mobilisation and de-mobilisation activities.
Site Monitoring
Carry out routine site inspections to monitor progress against programme.
Verify construction generally complies with approved drawings.
Identify coordination issues requiring input from the engineers.
Record observations and issue site reports.
Monitor rectification of outstanding items.
Documentation
Assist in maintaining project trackers and dashboards.
Monitor submission turnaround times and review SLAs.
Ensure project records are maintained within the document management system.
Prepare weekly progress reports and management summaries.
Maintain tenant communication logs.
Continuous Improvement
Assist in updating tenant fit-out procedures and templates.
Support preparation of tenant guidance notes and onboarding material.
Identify opportunities to improve review efficiency and customer experience.
Assist in maintaining quality standards across all tenant projects.
Skills, Knowledge and Experience
Diploma or Bachelor's Degree in Architecture, Interior Design, Architectural Technology, Construction Management or related discipline.
3–5 years' experience within tenant coordination, fit-out management or architectural design.
Previous experience within retail, commercial, hospitality or mixed-use developments.
Good understanding of tenant fit-out processes from design through to handover.
Working knowledge of UAE building regulations and authority approval processes.
Ability to interpret architectural drawings and tenant design submissions.
Familiarity with interior fit-out detailing and construction methodologies.
Experience using AutoCAD and Microsoft Office.
Experience using document management systems such as Aconex.
Excellent organisational and coordination skills.
Strong written and verbal communication skills.
Ability to manage multiple concurrent tenant projects.
Customer-focused with excellent stakeholder management skills.
Fluency in English is essential; Arabic would be advantageous.
