Front of House Coordinator

The Receptionist is the first point of contact for visitors and staff on the floor and plays an important role in representing the Savills Facilities Management team.
The role combines front-of-house hospitality with facilities coordination, including managing the reception and visitor experience, coordinating meeting rooms, supporting facilities requests and providing day-to-day administrative assistance to client staff.
The successful candidate will be proactive and attentive, ensuring the workplace is always presented to a high standard and that any issues, from meeting room requirements to maintenance or deliveries, are identified and addressed promptly.
The role plays an important part in delivering a positive experience for the client and their visitors and supporting the high standards of service expected across the site.
Key Responsibilities
Greet and assist visitors, contractors and staff in a professional and welcoming manner, in Arabic and English.
Manage visitor registration, access passes and visitor records in line with client security procedures.
Answer and direct calls, manage the reception inbox and handle general enquiries.
Manage meeting room and shared space bookings, ensuring rooms are clean, organised and ready for use.
Act as the first point of contact for facilities requests and report any maintenance, cleaning or safety issues.
Coordinate with the Facilities Supervisor, FM helpdesk, IT, landlord representatives and contractors as required.
Receive and distribute mail, deliveries and courier items and maintain relevant records.
Provide general administrative support, including printing, scanning, document preparation and event support.
Support staff onboarding, travel arrangements and internal meetings or events where required.
Support health and safety procedures, including emergency evacuations and fire warden responsibilities.
Maintain accurate reception and facilities records and assist with reporting as required.
Carry out any other related duties as requested by the Senior Property Manager or Head of PM/FM.
Skills, Knowledge and Experience
Essential:
Minimum 2 years in a reception, front of house, guest services or corporate administration role.
Fluent written and spoken Arabic and English.
Confident, warm and professional manner with senior business visitors.
Competent in Microsoft Outlook, Word, Excel and Teams; able to learn a CAFM system quickly.
Well presented, punctual and reliable.
Discreet, with a demonstrated ability to handle confidential information appropriately.
Able to prioritise competing demands calmly during busy periods.
Valid iqama and the right to work in the Kingdom of Saudi Arabia.
Desirable:
Experience in a Grade A commercial tower or multinational corporate office.
Prior exposure to facilities management, workplace services or hospitality operations.
Familiarity with meeting room booking platforms and visitor management systems.
Experience supporting a security-sensitive or technology sector occupier
